These Terms will be applied fully and affect to your use of this Website and Service. By using this Website or RDA AAP Ltd services, you agreed to accept all terms and conditions written in here. You must not use this Website or service if you disagree with any of these Standard 

Terms and Conditions.

  • All consultations are taking place by video meeting (unless explicitly agreed otherwise in advance)

  • Requested appointment confirmation letters take on average two weeks to prepare, and are only provided as standard for initial assessments. Where applicable, more comprehensive reports may be produced with a separate fee (contact the admin team prior to the appointment to request this).

  • If you require a report for court, legal purposes or any other medico-legal service, please be aware that standard assessments are neither suitable nor sufficient. We do not currently provide this service. Standard appointment confirmation letters are rarely, if ever, acceptable by courts or for any other legal purposes.

  • Practitioners are not normally able to discuss questions outside of appointments. To speak with any Clinician after a consultation, contact the admin team who will help to book in a service.

  • Any unplanned/unscheduled correspondence between the clinic and any third parties (for example: family / friends / other medical practitioners / employers / etc) will be automatically billed at a standard hourly rate of £250 (subject to change, accurate as of April 2025), with minimum increments of 1-hour for each action.

  • A standard 48-hour cancellation policy applies. Appointments cancelled or late within 48 hours will incur the full fee.

  • A diagnosis cannot always be established in a single appointment, and treatment plans can vary.

  • The quoted appointment length is not an exact guarantee of face-to-face time with the doctor. For example, a 1-hour appointment may typically involve around 45 minutes of face-to-face time and 15mins for administration purposes.

Nature of Services

All clinicians at RDA AAP Ltd are qualified and registered psychiatrists, psychologists, speech and language therapists, occupational therapists and clinical nurse specialists. If treatment needs are identified that are outside of this scope your practitioner will endeavour to assist you identify alternative suitable providers.

RDA AAP Ltd is not an emergency service. We are not able to respond to urgent or emergency matters and our communication channels (Phone, SMS, Email) are not monitored outside of standard business hours. For urgent concerns relating to the mental health or other emergencies please contact please make an urgent appointment with your GP or call 111. The Samaritans is also contactable on Freephone 116123. In any life-threatening emergencies please call 999 or attend your local accident and emergency department. 

Our cancellation policy

We recognise that plans can change, and there may be occasions when you need to reschedule or cancel your appointment. To do so without incurring any fees, please ensure that you notify us at least 48 hours in advance. Please note that cancellations outside the 48hrs period will be charged 100% of the appointment fee. For cancellations schedule at our London site we require 72hours notice.

Please be aware that most insurance companies will not cover cancellation charges and these fees are payable by the client directly.

Appointments can be amended or cancelled by contacting us by phone and speaking to our administrator or e-mail address. Please note that while RDA AAP Ltd. may send out reminders for your convenience, the responsibility for appointment attendance remains with you.

Further payment information: pre-payment policy

At RDA AAP Ltd., we operate a pre-payment policy. This means that our self-funding clients must make payment prior to the appointment. This can be done by direct bank transfer or payment link at the time of the booking. If we do not receive payment at the point of booking, this appointment slot will be offered to another client.

Failure to clear any outstanding balances with RDA AAP Ltd., may result in referral to a third-party, which may result in you acquiring additional charges and interest on the balance owed. It is your responsibility, as a client, to inform any third party of the payment terms and conditions for your treatment. RDA AAP is not responsible for organising payments from third party members.

Speculative Bookings: Speculative bookings that prevent others from making valid booking are prohibited.

Payment policy for using an insurance provider for specific services

If you intend to claim treatment costs through an insurance provider, a valid, in date pre-authorisation code and membership number must be provided to the clinic upon confirming your first appointment. Without a valid pre-authorisation code, RDA AAP Ltd. is unable to request payment from the insurance provider and so you, as the client, will be liable to cover the cost in full at the time of the appointment. For all clients receiving treatment under BUPA UK, AXA PPP, Aviva and Vitality we require the authorisation code and guarantee of payment from the insurer within 48 hours of booking the appointment. Should you, as the client, decide to continue with therapy beyond the end of insurance funding, the full fee will be charged. You may wish to contact your insurance provider to establish the terms and extent of your cover. This is particularly important if you would not wish to attend therapy in the absence of cover, as it is your responsibility to ensure payment and not that of the insurance provider.

If an insurance provider fails to settle the outstanding fee within 30 days of the visit, it will be the responsibility of the client to settle the outstanding fee in full as our contract of service is with the client, not the insurer. Should an insurance provider then agree to cover a consultation, the client would then be reimbursed in full or provided with a receipt of payment. If there is a shortfall on the charged amount that the insurance provider does not cover, this amount is the responsibility of you, as the client. It is the responsibility of the client to be aware of the Terms and Conditions of their insurance policy and to ensure that the provider is willing to cover all sessions booked as rejected invoices will be redirected to the client.

Confidentiality: We are registered with the Information Commissioner’s Office. Each clinician is bound by the ethical rules of our professional organisations.  Your treatment with RDA AAP Ltd. is confidential and private. This means we will not disclose the information you provide to us to Third Parties unless you consent for us to do so. It is important to note that there are limits to confidentiality in exceptional circumstances such as concerns of risk of harm to you or others, or ordered by a court order may order.

Health Record Management

We will create and keep Health Record for you which will record all relevant information relating to the treatment provided to you. We may also collect and store health information about you from third parties such as your doctor. Your health records are managed and protected in accordance with UK laws. All the information you provide is kept securely on a practice management software. The information will be kept securely for an appropriate length of time. It will then be disposed of securely. All information stored is held in accordance with the General Data Protection Regulations (2017). We are also registered with the Information Commissioners Office (ICO).

Digital Security For Online Video, telehealth we use Zoom or MS Teams.

This is considered to be secure and encrypted. We will send a Zoom or MS Teams invite/link and no one is able to enter the assessment/consultation/session without granted access by myself. Please do not share your link with anyone else. It is recommended that your computer and emails are secure against unauthorised viewing by third parties and that you use a private computer and not a work or public computer.

To maintain the integrity of the appointment please ensure you are alone in the room and able to commit to the appointment in the same way as you would if you were face to face with a clinician.  

This does not include reasonable adjustments – please ensure these are discussed at the start and if appropriate reviewed.

None of our sessions will be recorded by either client or therapist without the explicit written signed permission of the other. It is our standard practice not to record sessions. 

RDA AAP Ltd. Services:  These services include, but are not limited to marketing, advertising, appointment booking, administrative duties, report writing, client correspondence, room hire, reception duties, and more. RDA AAP Ltd. are not involved and shall not be held liable for anything connected to clinical planning and decision-making, or medical issues of any kind. All customers booked through the RDA AAP Ltd. website/marketing/sales/booking services for the independent practitioners, in all their consequent professional interactions (including health, safety, record-keeping, and all other aspects) are the sole responsibility of the relevant independent contractor, all of whom maintain their individual professional indemnity cover.

No warranties: This Website is provided “as is,” with all faults, and RDA AAP Ltd. express no representations or warranties, of any kind related to this Website or the materials contained on this Website. Also, nothing contained on this Website shall be interpreted as advising you. 

Limitation of liability: In no event shall RDA AAP Ltd. nor any of its officers, directors and employees, shall be held liable for anything arising out of or in any way connected with your use of this Website whether such liability is under contract.  RDA AAP Ltd, including its officers, directors, associates and employees shall not be held liable for any indirect, consequential or special liability arising out of or in any way related to your use of this Website.

Intellectual Property Rights: Other than the content you own, under these Terms, RDA AAP Ltd and/or its licensors own all the intellectual property rights and materials contained in this Website. You are granted limited license only for purposes of viewing the material contained on this Website.

Complaints: Ensuring a positive experience for every client is central to our values. We understand that concerns may occasionally arise, and we are committed to addressing them with courtesy, promptness, and professionalism. At RDA Autism & ADHD Practice, all complaints are handled with the aim of resolving matters efficiently and constructively. We cannot necessarily accept responsibility for and/or handle complaints of a clinical / medical / healthcare nature, if these relate to the independent practitioners that make use of our administrative/professional services. However, in an attempt to simplify things for the service user, we will accept complaints and attempt to rectify them if they involve anything we are responsible for, and/or we will attempt to pass your complaint to the relevant independent practitioner.

Changes and amendments

RDA AAP Ltd. reserves the right to modify or amend this Agreement at any time, and any changes will take effect immediately upon being posted on the Website unless otherwise specified. You will be notified of any significant changes through the contact information you have provided, if applicable, and your continued use of the Website following such modifications will constitute your acceptance of the revised Agreement. It is your responsibility to review the Agreement periodically for any changes.

Acceptance of these terms

By accessing and using the Website and Services, you acknowledge that you have read and agree to the terms and conditions set forth in this Agreement. If you do not agree to these terms, you are not authorized to use the Website or Services.
